Communicating with Students

Examity Access Ending August 2nd, 2024
Access to Examity online proctoring for both instructors and students will end with the Summer 2024 terms on August 2nd, 2024.  Moving forward, Honorlock will remain as the solely supported online proctoring tool by Distance Education.

No tool, proctoring technique, or procedure is fool-proof, not even face-to-face/in-classroom proctoring.  Academic integrity needs to be addressed from multiple approaches (refer to Best Practices for Assessment and Alternative Assessment).  One very important approach is communicating with your students.  Communication is essential to improving the online proctoring experience for you and your students, proactively addressing questions, avoiding technical issues, and openly discussing academic integrity.

It is likely that your students have never experienced online proctoring before.  New is often overwhelming and student test anxiety is already high.  It is important to include information about your exam level and what students can expect in your course syllabus, support resources, and when you introduce the exam.  Below is generic text that can be customized for your course.

Live Authentication + Audit Sample Text

"In [course name], you will use online proctoring for taking your exams  [You may wish to list the specific exam names here].  The proctoring security level for these exams is Live Authentication + Audit. 

The Live Authentication + Audit security level begins with live ID authentication and a 360᷾° sweep of the room and workstation, ensuring any unauthorized materials are removed before testing can proceed. Once complete, the proctor will leave the session. Although a human proctor is not present, the exam session will be recorded from start to finish, and the Examity software will monitor the exam for any unusual activity. Upon exam completion, an Examity proctor and auditor will review both the authentication process and proctoring session.  I will review flagged behaviors to determine if any follow up and/or action is needed [This is a good place to refer your students to your course syllabus and the academic misconduct policy]. 

While connected with the proctor for identify verification and the room scan, ask them any questions you may have about the technology and proctoring process.  After the proctor disconnects, there is no one actively connected with you should you experience any technical issues.  You can absolutely receive support, but you must contact Examity directly at 1-855-EXAMITY (1-855-392-6489)

Online proctoring will require the use of a computer, webcam with microphone (your computer may have one built-in), an updated Chrome web browser (only use Chrome web browser), and the Examity Chrome browser extension (added at the time of testing).  A wireless internet connection works, but a wired connection is preferred and students experience less issues.  Run the Examity platform system check on whichever computer you will use to take your exam.  This will help ensure your computer is properly configured for online proctoring so that you can address any issues in advance.  You will also need to take your exam in a quiet location where you can take the exam alone that does not contain any unapproved materials.  The exam space could be a room in your/family/friend home, office, private study room, etc.  You will be asked to show a 360 degree view of your workspace.  Please understand the proctor does not know the content of your exam so they may ask you to remove or cover up items.

To get started, select the Examity link in D2L found [enter location of link within your D2L course].  You will be directed to set up your Examity student profile, if not previously completed. It is recommend that students set their time zone to automatic.  While creating a profile and during your proctoring session you will be asked to show an APSU student or government issued ID to verify your identity.  Then, you can begin scheduling and taking proctored exams.  Exams must be scheduled at least 24 hours in advance.  Any exceptions must be approved by me as a "Scheduling Exception" in Examity.  The number of available proctors per time slot is limited so the earlier you schedule the better. Students can begin their proctoring session up to 15 minutes early and they can be up to 30 minutes late for a scheduled exam session before they will lose their time slot.  When you have completed your exam, you must submit the exam in D2L before disconnecting from Examity
