Tax Information (W-4, W-2 & 1095-c)

This page provides instructions for updating your federal tax withholding (W-4), accessing your year-end tax documents (W-2), and setting your delivery preference for your Affordable Care Act Form 1095-C in Govs Suite.


How to Update Your W-4 (Federal Tax Withholding)

Use this process to change your federal tax withholding, such as your filing status or number of dependents. Your settings will automatically default to "Single" with zero dependents until you make a change.

  1. Log into Govs Suite.

  2. Select the Me tab.

  3. Under the Apps section, select the Pay icon.

  4. Select the Tax Withholding card.

  5. On the "Federal" summary screen, select the pencil icon on the far right to make changes.

  6. The W-4 form will open. The start date will default to the current day.

  7. Select your Filing Status from the dropdown menu (this is required).

  8. Read the form and complete all steps that apply to your personal tax situation (e.g., Multiple Jobs, Qualifying Dependents).

  9. To add an extra flat dollar amount, enter it in the Extra Withholding box (section 4c).

  10. To save your changes, you must check the box at the bottom that begins, "Under penalties of perjury...".

You will be returned to the summary screen, which will reflect your new setup. You can review your pay statement after the next payroll to ensure your changes are correct.


How to Access Your W-2

Your W-2 forms are located in the "Year-End Documents" section of Govs Suite.

 

Current W-2s (in Govs Suite)

  1. Log into Govs Suite.

  2. Select the Me tab.

  3. Under the Apps section, select the Pay icon.

  4. Select the Year-End Documents card.

 

Prior Year W-2s (Before Govs Suite)

W-2s for tax years paid from the previous system (Banner) are not available in Govs Suite. You must request these using the Reprint Request Form.

  1. Download the Reprint Request Form.

  2. Complete all fields, including the tax year(s) you are requesting.

  3. Select how you would like to receive the document (mail or electronic).

  4. Email the completed form to payroll@apsu.edu or mail it to Payroll Services.


How to Request Electronic Delivery of Your 1095-C & W2

Follow these steps to choose electronic delivery in Govs Suite.

  1. Log into Govs Suite.

  2. In the left-hand Quick Actions menu, select Document Delivery Preferences.

    • If you do not see this option, select Show More at the bottom of the list, then choose Document Delivery Preferences under the Document Records section.

  3. Under each form, check the Delivery Method.

    • If it shows Online, no action is needed.

    • If it shows Paper, select the pencil icon on the right.

  4. In the Delivery Method dropdown, select Online.

  5. Select Save to confirm your preference.

Once set to Online, your forms will be available electronically in Govs Suite and a paper copy will not be mailed.
