How to Request an Absence
This guide explains how to request, submit, and manage absence requests (leave reporting) in Govs Suite.

How to Request an Absence

Log into Govs Suite.

Select the Me tab.

Select the Time & Absence icon.

Select Add Absence to begin a new request.

Absence Type: Select the type of leave you wish to use from the dropdown menu (e.g., Annual Leave, Sick Leave, etc.).

Dates: Select the start and end dates for your absence. For a single day of leave, the start and end date should be the same.

Duration: If you are requesting a partial day, enter the number of hours (e.g., "4" for a half-day) in the Duration box.

Details: This field is optional.

Submit: Click the SUBMIT button.

Critical: You must submit the request. Do not just "Save" it. A saved request will not be sent to your supervisor for approval or payment.

Checking the Status of Your Request
You are responsible for ensuring your absence requests are approved.

Navigate to the Time & Absence page and select Existing Absences.

Review the status of your requests. A request must be in an "Approved" status to be transferred for payment.

If a request has not been approved, contact your supervisor to discuss it.

You can edit a request by clicking the pencil icon next to it.
How Absences Appear on Your Timecard

Gray Font: When an absence is first saved or submitted, it will appear on your timecard in a light gray font. This does not mean it is approved.

Black Font: Once the request has been fully approved by your supervisor, it will change to a black font, matching the rest of the timecard.

Action: Do not submit your timecard for the pay period until all absence requests are in an Approved status (black font).
Information for Supervisors

Supervisors must approve staff time requests in a timely manner.

If requests are not approved, they will not transfer for payment, and the employee will be short-paid.

Supervisors can find pending requests in their Bell icon, "Things to Finish" , or by navigating to My Team > Quick Actions > Show More > Absence Section > Existing Absences.
