Web Clock Timekeeping (Non-Exempt)

This guide is for non-exempt (hourly) employees who are required to record their time worked by clocking in and out using the Govs Suite Web Clock.

How to Log In:

  1. Open the Govs Suite Website.

  2. Choose Company Single Sign-on.

    1. Do not use the User ID and Password fields on this screen.

  3. Follow the prompts to enter your single sign-on credentials.

Web Clock Step-by-Step Guides

How to Clock In and Out (Daily)

Use this process for your regular, daily punches.

  1. Log into Govs Suite.

  2. Select the Me tab.

  3. Select the Web Clock icon.

  4. Select the applicable button for your action:

    • Clock In To Work

    • Clock Out for Lunch

    • Clock In from Lunch

    • Clock Out From Work

  5. A pop-up box will appear. Select your Job from the dropdown.
    Important: If you have more than one job, you must select the correct one. Do not clock in on another job, as it can affect your pay rate.

  6. Select the Hours Type.
    This should ALWAYS be Worked Hours. Do not select any other type.

  7. Select Submit.

  8. You can verify your punch was successful by looking in the "Daily Time Events: Today" section in the lower-left corner of the Web Clock screen.

How to Request a Time Change (Missed Punch)

 

Step 1: Navigate to Time Changes

  1. Log into Govs Suite.

  2. Select the Me tab.

  3. Under the Apps section, select Time and Absence.

  4. Select the Request Time Changes card.

  5. Select the Date you need to change.

 

Step 2: Add or Edit Your Time

After selecting the date, you will see your "Time entries" for that day.

  • To Add Missing Time: If no time events are listed, select the + Add button.

  • To Edit Existing Time: If there is already a line with worked hours, select the pencil icon on the far right of that line to edit.

 
 

Step 3: Enter Details and Save

  1. Complete the fields for your time adjustment (e.g., Start Time, End Time).

  2. You must add a note/comment so your supervisor knows the reason for the change (e.g., "Forgot to clock in").

  3. Select Save.

 

Step 4: Submit for Approval

  1. After saving, review your time entries on the main screen to verify they are correct.

  2. Select the Submit button to send the request to your supervisor.

Important: You must select Submit for the request to be routed for approval. If the request is not approved, it will not transfer for payment.

How to Review and Submit Your Timecard

At the end of the pay period, you must review and submit your full timecard.

Step 1: Review Your Timecard

  1. Navigate to Me > Time and Absence.

  2. Select Existing Time Cards to review your timecard for the pay period.

  3. Check your timecard for the following:

    • Daily Totals: Verify you have accounted for all hours worked or on leave.

    • Double Punches: Ensure there are no duplicate punches.

    • AM vs. PM Accuracy: Check that all punches are for the correct time of day (e.g., not clocking out at 5:00 AM instead of 5:00 PM).

    • Correct Job: Verify all hours are reported on the correct job.

 

Step 2: Add Comments (If Needed)

If you need to make a note on a specific day, you can right-click in the field and select Add Comment. You can only have one comment per day.

 

Step 3: Submit Your Timecard

  1. Once you have verified your timecard is accurate, select the Submit button in the top-right corner.

  2. If you cannot see the Submit button, it may be hidden under the 3-dots (...) menu.

 
 

Final Approval Warning:

  • All Time Changes Must Be Approved: DO NOT submit your final timecard until all of your "Request Time Change" submissions are in an approved status.

  • Timecard Must Be Approved: Your full timecard must be Submitted (not just saved) and Approved by your supervisor by the deadline to ensure your payment is processed properly.

  • Check Status: You can check the status of your timecard in Existing Timecards. If it is not approved, contact your supervisor.

  • Prior Period Changes: If you requested a change for a previous pay period, you must resubmit the original timecard, and your supervisor must reapprove it, after the change request is approved
