This guide is for General Timecard users who are required to record their time by entering the daily total of hours worked.

Accessing Your Timecard

  1. Log into Govs Suite.

  2. Select the Me tab.

  3. Select the Time & Absence icon.

  4. Select Current Time Card. Timecards are made available on the first day of the new pay period.


How to Enter Your Time

  1. Select Job: Choose your job from the "Job" dropdown menu. If you hold multiple jobs, you must select the correct one to ensure proper pay and ledger accounting.

  2. Select Hours Type: Click the "Hours Type" dropdown.

    • Important: The only hours type you should ever select is Worked Hours.

    • Do not select any other type, as it will negatively impact your payment.

    • Compensatory time is calculated automatically by the system; you do not need to enter "Comp Time Earned".

  3. Enter Hours: Click into the "Quantity" field for the specific date you are recording. Enter your total hours worked for that day.

  4. Verify Row: Ensure your hours are entered on the same row as the "Worked Hours" type.

    • Do not enter worked hours on a row designated for an absence (e.g., "Annual Leave"). Absences are requested separately and entering time on that row will cause a timecard error.

    • Holiday hours will be entered by the Payroll Team.


Reviewing and Submitting Your Timecard

  1. Check Absence Status: Before submitting your timecard, you must verify that all your absence requests (leave) have been fully approved.

    • Unapproved absences appear in a gray font.

    • Approved absences appear in a black font.

  2. Verify Totals: Review the daily totals at the bottom of the timecard to ensure all hours worked and leave taken are accounted for.

  3. Submit: At the end of the pay period, click the Submit button located in the top-right corner.

    • If you cannot see the button, click the 3 dots icon to find it.

  4. Deadline: You must ensure your timecard is Submitted (not just saved) and Approved by your supervisor by the payroll deadline to ensure your payment is processed correctly.


Additional Timecard Functions

  • Add Comment: To add a note to a specific day, right-click in that day's field and select Add Comment. You can only add one comment per day.

  • Check Timecard Status: You can review the approval status of your timecard by navigating to Existing Timecard. If it is not approved, contact your supervisor.

  • Check Absence Status: You can review the status of leave requests by navigating to Existing Absences.
