Promoting Campus Events

Most campus events should be promoted using the following channels, not standalone "The Gov Says" emails:

  1. University Calendar - learn how to request a calendar for your area

  2. Weekly Digests (Governor’s Guide or FYI): Events submitted by the deadline are considered for inclusion in the relevant digest. Inclusion is curated, not guaranteed.

  3. Govs Connect: Events in Govs Connect automatically appear in the university calendar, providing students and employees with convenient access to upcoming activities.

  4. Your Unit's Channels: Promote via your department/organization's website, social media, targeted emails (use Emma segmentation), posters, digital signs, etc.


Event Promotion Timeline

  • 4 weeks before: Submit to Govs Connect or the University Calendar

  • 3 weeks before: Request inclusion in weekly digests

  • 2 weeks before: Begin unit-level promotion

  • 1 week before: Final push through appropriate channels


'The Gov Says' for Events

A standalone "The Gov Says" email for an event is rare and requires formal approval from PR & Marketing. The event must meet ALL of the following criteria:

  • Institutionally Critical: A major university priority or operationally essential for all.

    • OR

  • A Designated Signature Event: Officially recognized for exceptional scale and strategic importance (e.g., Homecoming, commencement, major presidential addresses).

    • AND

  • Standard Channels Insufficient: Provide a compelling reason why the calendar, digests, and unit promotion are inadequate.

Routine events, lectures, workshops, meetings, etc., do NOT qualify.
