Shadowing Opportunities

The Office of Pre-Professional Health collaborates with local healthcare providers to help students locate shadowing opportunities in their pre-professional area of interest.


Tennova Healthcare Volunteer Program

APSU actively partners with Tennova Healthcare in Clarksville, TN to provide structured volunteer experiences for pre-professional students. Students who have selected the Pre-Med, Pre-PA, Pre-PT, or Pre-OT designations in AP OneStop will receive an email about the application process at the appropriate time in the academic year.

 

Tennova offers volunteer experiences in the following departments:

Emergency Department Volunteer Responsibilities

 

Hours of Operation: 24 hours a day, 7 days a week

Reports to: ED Director (502-1345) and Nurse Manager on duty

 

Responsibilities of Emergency Department Volunteer

  1. Greet and assist patients/visitors as they enter the waiting area.

  2. Direct visitors to front desk staff for patient's admission status and / or room number

  3. Check waiting area and rest room for cleanliness and report any findings to Environmental Services, if necessary

  4. Inform patients/visitors of telephones, restrooms, vending, and their location

  5. Provide comfort measures to visitors (i.e. blankets, coffee, etc.) – please check with nursing staff before providing food and/or liquids to the patient

  6. Take family members back to the patient care areas as instructed and in compliance with ED policy

  7. Assist Triage staff with transporting patients to the ED treatment area, alerting staff as to placement of patient

  8. Assist staff with cleaning and restocking of rooms upon discharge of patient – deep cleanings will be performed by EVS

  9. Check in with the charge nurse AND each nursing station every hour to see what help you can provide

  10. May assist with other non-clinical duties as requested

  11. Volunteers must follow all HIPAA and Confidentiality guidelines – volunteers may not view patient’s charts or review any electronic patient information

  12. Volunteer are NOT allowed any direct hands-on patient care or procedures.

  13. Volunteers will follow required dress code of Volunteer polo shirt or jacket and khaki pants. No scrubs allowed.

  14. Volunteers are under the supervision of Tennova Healthcare Emergency Department Staff and are to follow instructions given by Tennova staff.

 

Supervision and Training

The Emergency Department Director has overall responsibility for assuring that the Volunteer gets appropriate orientation, training and supervision. However, training may be also be provided by a member of the nursing staff, the ED educator, and a volunteer that has experience in the Emergency Department. All ED staff members will be made aware of the roles that volunteers may and may not fill in the Emergency Department.

Training will include:

  • Departmental tour and introduction to staff

  • Function of the department within the Medical Center

  • Departmental Orientation as outlined by the ED training tool

When interacting with our patients, please say “Hi, my name is _____. While you are here, if I can be of any assistance, please feel free to ask me. I will be around checking on you frequently.” Feel free to get blankets, keep children occupied, walk patients to the bathroom, assist in getting people out of cars (do not part or drive their cars), check on waiting times for patients, and in general, keep them informed.

  • PLEASE interact with the triage nurse for answers to questions, not the registration staff.

  • Do not get drinks or food for anyone without checking with the nurse first.

  • Circulate the waiting area frequently so that patients feel we are always concerned about them.

  • If they encounter any difficult situations or people, they are to get the triage or charge nurse immediately.

 

Qualifications

Individuals must be able to walk easily through the facility as needed. Past customer service experience is helpful but not required. The ideal candidate will have a pleasant, upbeat and outgoing personality and the flexibility to do what is needed for the patients, visitors, and families.

Evaluations

Volunteers will be evaluated (verbally) by their direct supervisor, in conjunction with the DVS, after one month of service, then evaluated (verbally) yearly at the discretion of the DVS. Supervisors will complete a (written) competency checklist as a means of evaluating the volunteer once every three years. Likewise, volunteers will complete a verbal evaluation of their responsibilities after one month of service, then yearly at the discretion of the VS. To better meet the needs of the volunteer, evaluation remarks by the volunteer may be shared with their departmental supervisor by the DVS.

Rehabilitation Services Volunteer Responsibilities

 

Hours of Operation: 8:00am-4:30pm, Monday through Friday

Report to: Rehabilitation Manager, 502- 1441 and Director of Rehabilitation Services, 502-1410

 

Responsibilities of Rehabilitation (Occupational/Physical Therapy) Volunteer

  1. Observation of Therapist duties- Volunteers should not be allowed any hands-on care of patients

  2. Cleaning of equipment as directed and supervised by therapist

  3. Assists therapist in non-clinical activities, i.e. bringing supplies to areas of need, copying reports

  4. Transporting patients to and from therapy

  5. Making and Filing of patient charts

  6. Aiding IP rehab patients with room needs, including pillows, blankets, meal assistance (no feeding)

  7. Answer phone, direct caller to appropriate person(s)

  8. Direct patient/visitor to other areas of hospital

  9. Filing of patient reports in patient chart

  10. Assisting in all other clerical duties when deemed necessary

 

Supervision and training

The Manager of Rehabilitation Services, will be your direct contact. Also any of the Rehabilitation Services staff will be happy to help you with anything you may need A member of the Rehab staff may be assigned to oversee training and supervision. Orientation will take place the first day you start, including:

  1. Orientation to the department and introduction to Rehab staff

  2. Departmental layout and function of the department within the Medical Center

  3. Age-specific and age sensitivity training for the department

  4. Customer Service- patient privacy and confidentiality

  5. Location of equipment - There will also be a brief overview of the equipment and supplies located in the department

  6. Training on equipment (depending on time, this may be done on next day volunteer works)

  7. Review patient charts (layout, supplies needed in making patient chart)

  8. Training of hospital phone system if needed

  9. Location and organization of patient charts

 

Qualifications

Individual in this position should familiarize themselves with the layout of the hospital. Good vision, physical dexterity for light lifting, as well as ability to stand for short periods of time. Some knowledge of computer would be helpful (but not required). The ideal candidate will have a pleasant, upbeat and outgoing personality, team player a must, and the flexibility to adjust to task assignments as needed.

To better meet the needs of the volunteer, evaluation remarks by the volunteer may be shared with their departmental supervisor by the DVS.

Surgical Services Volunteer Responsibilities

 

Hours of Operation: 8a-5p, Monday through Friday

Report to: Surgical Services scrub assistant, 502-1700

 

Responsibilities of Surgical Services Volunteer

  1. Transport patients to area of need

  2. Assist staff in getting and returning patients from in-patient nursing floors

  3. Take cultures to the laboratory

  4. Deliver X-rays as directed

  5. Stock shelves of unit

  6. Clerical duties as assigned by Surgery staff, including data entry

  7. Assist the Surgical Aide and Surgical Techs as directed by supervisor

 

Supervision and Training

The lead scrub assistant will be your direct supervisor. They can be contacted for any needs or questions you may have at extension 1700. Additionally, any of the surgical services staff will be happy to assist you at any time.

 

Training will be given by the surgical services staff and educators. Training will include:

  1. Layout of the unit and introduction to staff

  2. Function of the department within the medical center

  3. Review of equipment used, both clinical and clerical

  4. Procedures for checking patient identification

  5. Procedures for transporting patients (ONLY Teens 16 and older may assist in transporting patients – teens may NEVER push patients alone, wheelchair or bed).

Surgical Volunteers are asked to commit to at least a three hour shift. You will be asked to commit to a regular schedule that is suitable to your schedule and to the department’s needs. If you miss more than two weeks in a row without a valid excuse, you are at risk of losing your shift to another Volunteer.

 

Qualifications

Individuals in this position must help to promote good public relations for the Surgical Services Department and Tennova Healthcare while maintaining patient confidentiality. Volunteers must be able to stand at least 50% of the shift. The ideal candidate will have a pleasant, upbeat and outgoing personality and the flexibility to do whatever is needed for the department.

Hours of Operation: 7am-3pm, Monday through Friday

Report to: Cath Lab manager, 502-5020

 

Responsibilities of Cath Lab Volunteer

  1. Transport patients to area of need

  2. Assist staff in getting and returning patients from in-patient nursing floors

  3. Take cultures to the laboratory

  4. Deliver X-rays as directed

  5. Stock shelves of unit

  6. Clerical duties as assigned by Cath Lab staff, including data entry

  7. Assist the Cath Lab staff as directed by supervisor

 

Supervision and Training

The Cath Lab supervisor will be your direct supervisor. He can be contacted for any needs or questions you may have at extension 5020. Additionally, any of the Cardiovascular  ervices staff will be happy to assist you at any time.

 

Training will be given by the surgical services staff and educators. Training will include:

  4. Procedures for checking patient identification

Tips for Shadowing Success

Tennova is not the only place you can shadow — the office encourages students to be proactive in seeking out opportunities to build a competitive graduate school application. When approaching potential shadowing sites, be prepared to discuss the expectations deemed essential by the shadowing office, such as:

  • Appropriate attire for the clinical setting

  • Schedule availability and commitment expectations

  • Communication preferences and professionalism standards

  • Any additional requirements specific to that location
