Van Reservation

Parking & Transportation maintains two vans available for university departments to check out for official university business.

Available Vans

  • PTV1 — 15-passenger van (including driver)

  • PTV2 — 11-passenger van (including driver), equipped with a wheelchair lift


How to Reserve a Van

Complete the Van Use Rental Request Form to submit your reservation. You will need to provide:

  • Department name and FOAP

  • Contact name, email, and phone number

  • Requested trip and return dates

  • Destination and purpose (with confirmation documentation)

  • Van type preference

  • Driver name, A-number, email, and phone number

Request a Van

After submitting, you will receive a confirmation email from Parking & Transportation within 72 hours. Van availability is on a first-come, first-served basis.

New drivers: Submit driver information at least one week before pickup to allow time for the required Motor Vehicle Record (MVR) check process.

Rental Fees

The FOAP listed on your reservation form will be charged a rate of $100 for a rental period of one week . At week two, days 8 to 14 , the rate increases to $200 starting on day 8. Employees may not use university vans longer than necessary.

Additional charges may apply:

  • Fuel: The van must be returned with a full tank. If not refueled, a charge at the current market rate plus a $100 service fee will be applied.

  • Cleaning: A minimum $100 cleaning fee applies if the vehicle is returned with excessive dirt, trash, or debris.

  • Paperwork: To be completed at van pickup. All required paperwork must be completed prior to receiving keys. If any required paperwork is not submitted at the time of vehicle return, a $100 administrative fee will apply.

  • Motor Vehicle Record: There is an annual $10 driving history AND $100 endorsement fee per driver.


Driver Requirements

All drivers must be on the Parking & Transportation Approved Driver List before operating a university van. Key requirements include:

  • Must be over 23 years old with at least two years of continuous driving history

  • Must be a full-time university employee with a current, valid driver's license

  • Must have completed the required van safety training videos

Annual Motor Vehicle Registry Renewal

To ensure compliance and maintain approved driver status for van rentals through the Department of Parking & Transportation, please review the following requirements:

  • Van rental requests should only be submitted if all listed drivers have a current Motor Vehicle Record (MVR) on file.

  • All MVRs expire annually on May 31 and must be renewed each year.
