Integrated Messaging Installation for Outlook 2003

The following instruction set will allow you to install software on your computer which will make your voice mail messages appear in a special Outlook folder.

First, open Outlook.

Click on the "tools" button in the main toolbar and select "email accounts".

Under the bold "E-mail" click the button for "Add a new e-mail account", then click "next".   A "Server Type" box will open.

In the "Server Type" box click on the button for "IMAP", then click "next".  A new box called "Internet E-mail Settings/IMAP" will open.  Enter the following information.

User Information

In the "Your Name" box enter "Lastname, Firstname".  In the "E-mail Address" box enter your Exchange email address "lastnameinitial@apsu.edu". 

Server Information

In the "Incoming mail server (IMAP) box type "apbrvm1.apsu.edu".  In the "Outgoing mail server (SMTP)" box type "exchange.apsu.edu".

Logon Information

In the "User Name" box enter your voice mailbox number.  For staff members this is your phone number preceded by the number "1" if you are a faculty member or the number "3" if you are a staff member.  For example, if your phone number is "9999", your voice mailbox number is "19999" for a faculty member or "39999" for a staff member.  In the "Password" box enter your voice mail security code.  This is the code you punch in on your telephone to check your voice mail messages.  Do not enter your email password.  Click the "remember password" checkbox.  Now click on the "More Settings" box.  In the "Mail Account" box, highlight apbrvm1.apsu.edu and delete it.  Type in "Voice Mail" and click "OK".  This will name your Outlook Folder "Voice Mail"  Click next.   A "Congratulations" box will appear.

In the "Congratulations" box, click "finish" to finish your setup.

Now it's time to install "Desktop PhoneManager".  Click the link below to connect to the installation server.

A security warning box will appear on your screen.  Click "Run".

In the second security warning box, click "Run" again.

When the green "CallXpress Unified Messaging for Exchange Setup 7.70.1830" screen appears, click "next"

In the "Choose Destination Folder" click "next".

A program will run for a few seconds and another dialog box will appear asking if you want to configure your workstation.  click "next".

A "Server Settings" box will appear.  In the Server Name box enter "apbrvm1".  In the mailbox number enter your voice mailbox number.  Remember to put a "1" or a "3" in front of your extension as appropriate.  Faculty mailboxes use a "1", staff mailboxes use a "3".  The protocol radio button should have TCP/IP checked.  Click OK.

The "Desktop PhoneManager" dialog box will now appear.

Select the "Record and Playback" tab at the top of the "Desktop PhoneManager" box. 

For "Playback Settings" check "Soundcard".  For "Record Settings" check "Telephone".  In "Phone Extension" enter your extension.  Do not add a "1" or a "3" in front of your extension for this box. 

Select the "Presentation" tab at the top of the "Desktop PhoneManager" box.  If it's not there by default, click the checkbox for "Auto Play Envelope" and click the button for "before". 

You can now click "OK" at the bottom of the "Desktop PhoneManager" box, then click "Finish".  If the program asks you if you want to "restart your computer now" close all running programs and allow it to restart your computer.

Congratulations, you're ready to go!  Your new voice mail messages will appear in the folder you made named "Voice Mail".

Note 1:  The voice mail messages still live on the voice mail server, they are not copied to your hard drive or the Exchange server.  If you wish to save a message for archival purposes, drag it to a personal folder in Outlook or save it like you would any other attachment to an appropriate location on your computer.

Note 2:  After you click "delete" the message will still appear in your "Voice Mail" folder until it is automatically deleted in 30 days.
