Setting up your voicemail box:
From your office telephone:
(if you are the only person assigned to that
extension)-dial 1111-the system will ask you to input your
security code. The first time you access your box you
will need to input 0000. The system will then guide
you through the set up process. You must go
through the entire process for your box to be completely set
up. NOTE: When you first dial the 1111 if it asks you
to input an extension or mailbox number, you must call the
system administrator (6191-Joan) to make sure your box is
set up on the proper telephone extension.
For students: (If you share a telephone number with other
room residents)-you will need to input your box number after
dialing 1111. Then it will ask for your security code
(the first time you go into your box it will be 0000) and
then you will follow the prompts in the tutorial.
NOTE: If you do not know your mailbox number, you will need
to call the system administrator (6191-Joan).
VERY IMPORTANT: This is the final step in completing set up of
your voicemail box!!!!
Before your calls will go to your voicemail box, you will need
to decide when or which calls you want to go to your
voicemail box. If you want your calls to go to
voicemail when you are on the phone, you will need to lift
the handset, get a dial tone, and press *6 then 1111.
For calls to go to your voicemail when you are not available
to answer your phone, you will need to lift the handset, get
dial tone, and press *7 then 1111. To cancel either *6
or *7 you will need to lift the handset, get dial tone, and
press either #6 or #7. You can use these forwarding
features together or separately.
Accessing your Mailbox Messages:
Dialing into the voicemail system:
Internally
(on campus)-dial 1111- if you are the only
person using the extension, it should ask for your security
code. If you dial 1111 from someone else’s extension
and they have voicemail on the extension, as soon as you get
into voicemail press *#and it will ask for your 5 digit
mailbox number. If you are trying to access your
mailbox from a courtesy phone or a phone that does not have
voicemail on it, you will dial 1111 and when the voicemail
system answers, you will press #and input your 5 digit
mailbox number.
Externally (local-but off campus)-dial 221-1111.
Externally (long distance-outside the Clarksville
area)-dial 931-221-1111. When accessing voicemail from
off campus, once the voicemail system answers, you will need
to press # then input your 5 digit mailbox number.
Listening to Mailbox Messages:
When you have new messages you can press a 1 to listen to new
messages. While listening to new messages you have the
following options and can press the number anytime while
listening to the message.
1-Pause/Continue Listening
1-continue listening
3-change text playback language (not available)
4-increase speed
5-set bookmark
6-increase volume
7-decrease speed
8-resume from bookmark
9-decrease volume
2-Forward message
3-Back up message 5 seconds
4-Delete message/recover message
5-Save
6-Review
7-Skip to next message
8-Reply to sender
1-select mailbox
2-record
3-transfer to extension
9-Advance 5 seconds
*-Exit/cancel

Record and Send Messages
You can record and send messages to other mailboxes from
within the system. Dial the appropriate access
number (1111 or 221-1111), go into your mailbox and press 2.
Enter the mailbox number of the message recipient or press #
to get a directory of mailbox users.
The message recording options are as follows:
2-Pause/Continue
3-Back up 5 seconds
4-Delete message
5-Send (You must press 5 to send the message)
6-Review
9-Advance 5 seconds
0-Message routing options
1-Specify future routing
2-Set message as urgent
3-Restrict message forwarding
4-Append a fax (not an option on our system)
5-Request receipt notification
8-Leave a callback number
*Exit/Cancel

Access Phone Manager
These are hidden options that allow you to personalize your
voicemail box. To get to this part of the system, go
into your voicemail box. Press 3 (there are no prompts
at the beginning to tell you when to press the 3 but do it
as soon as you hear the system telling you if you have
messages) then follow the options listed below.
1-Personal Options
1-Change message notification
2-Change daily message reminder
3-Record personal greeting
1-Busy greeting
2-Standard greeting
3-Out of office greeting
4-Change security code
5-Record your name
2-Messaging options
2-Record a name for a box you sponsor (not available)
3-Change personal distribution list (not available)
4-Change message forwarding
6-Change message envelope settings (time/date stamp-before or
after messages)
