Minutes of September 21, 2005 Meeting

   1.   “Hot Topics” Program - Shaun Ketterman (Student)

         Assistant Director of Programming, Student Life and Leadership

         Presented idea – Requested list of interested faculty from deans plus two students each evenings 1-2 hours;

         7 – 9 p.m., mid-week in UC 307; twice a month, connection to APSU 1000.  The deans supported the recommendation and suggested implementation in the spring of 2006.

 

   2.   Policies - Mitch Robinson

         Mitch Robinson reviewed and distributed a two-page document outlining policy changes.  He specifically

         noted the changes in the purchasing limits and unpaid leave for faculty. 

 

         Mr. Robinson reported the status of the various building/grounds projects.  He noted that the renovation of the McCord Building is progressing well.  The building is scheduled to be turned over to APSU in July, 2006.

 

   3.   Extra Staff Workload Once Grades are Submitted - Sheila Bryant

         Dr. Speck invited Sheila Bryant to inform the deans of the processes that takes place after grades are turned in.  Sheila reported that grades impact students who receive financial assistance, who may be placed on probation or suspended.  In these cases (and others), each grades makes a significant difference to the student’s status and the student must be notified as soon as possible. The Registrar’s Office cannot run the grades when grades are missing – it provides an inaccurate report.  Many offices work weekends and during Christmas break to ensure that student’s receive accurate information and the students’ needs are met.  It is important for all employees at APSU to be aware of the fact that everyone works very hard to accommodate the students at APSU.

 

         Grades are due  Monday, Dec. 19, at 10 a.m. (same as MTSU and University of Memphis).  APSU’s last exam is Thursday, Dec. 15Perhaps the Banner system will be able to provide an alert system for faculty members.  It was suggested that a reminder be sent to all faculty at the beginning of exam week to check their PIN number for Web for faculty.  It is important that grades be turned in on time. Dr. Speck requested that Telaina provide a master list of repeat offenders to him with copies to the deans and chairs.  

 

         Harriet McQueen will provide the screen name for chairs/deans to view all advisors.

 

   4.   IETS (Status Reports due Oct. 5) - Bruce Speck

         The 2004-05 IETS report should be closed out by the end of September.  All to provide update next meeting on unit status.  Diane Berty will check with Richard Jackson permission to view multiple screens.               

 

   5.   Change of Grade to “W” Bulletin Statement - Jim Diehr/Diane Berty

         Charles Pinder moved to accept proposal to add #4 statement about student requesting a withdrawal and that student was failing during the mandatory “F” period.  Gerald Beavers seconded.  Will remove quotes from “documented.”  Susan Calovini will proof.  Student can still appeal the grade through academic appeal process if inconsistencies exist between Deans.  Next meeting, add #3 to final version.  Motion passed.

 

   6.   Faculty Handbook: Uniform Template for Dept. Personnel Actions - Diane McDonald - Attachment A

         Uniform template needs to be updated to reflect changes to 5:060 passed last year.  A draft was discussed. The major change is that committee service and voluntary service is moved out of section A to section C. Diane Berty moved to accept.  Jim Diehr seconded.  Question raised:  Why change to B-#4 from “Creative Endeavors” to “Research or Arts in Progress”?   Susan will check TBR Policy and Mickey Wadia.   Departmental criteria should be in place next year.  Need to obtain a model of good department criteria.  Diane and Susan will develop instructions for providing improvement (i.e. not to leave blanks).   All departments should have the criteria completed by end of fall 05 term.  Different issue is uniformity in standards to be addressed in following year.  Academic Affairs will send directions out.

        

   7.   Bulletin Editing Process/Curriculum Process - Charles Pinder

         We had an issue with graduate bulletin incorrectly deleting a graduate program which impacted recruiting and current students in program.  Most schools have a process in place which provides checks and balances.  Harriet McQueen will meet with Registrar’s Office to determine how to address this issue and develop specific instructions for chairs.  Jim Diehr suggested providing Academic Council with the time to read and review the changes. 

        

   8.   Faculty Ads Formats - David Denton

         The online ads in www.higheredjobs.com and The Chronicle have issues with the format like misleading or missing headlines, hidden multiple positions, and positions left out.   Input issue on our end.  Human Resources is contacting the publications to fix the ads and rerun.  Everyone needs to check your ads and talk with Human Resources.

        

   9.   Minutes of Sept. 7 Deans Council Meeting - Attachment B

         Gaines Hunt moved to accept.  Harriet McQueen seconded.  Motion passed.

Add adjunct teaching load to next week’s agenda.  Changes to include 11 hours per term, input from Gerald, and changes  from secretaries.   Distributed tips for dealing with distressed students.

 

Inga

Encourage faculty to come to library look at what they ordered.  Recommended that we locate ESL on campus since international students do not have cars.
