Deans Council

Present:  Bruce Speck, Houston Davis, Mike Gotcher, Gaines Hunt, Tom Buttery, Jim Diehr, Sean Hogan, Sheila Bryant, Stan Groppel, Charles Pinder, Deborah Fetch, Gerald Beavers.

                       

1.      Follett presentation in UC 305 at 9 a.m.

The Follett general manager, Keith Kilpatrick, and the campus bookstore manager, Deborah Johnson, were present.  Mr. Kilpatrick provided a review of the previous year.

 

2.      Academic Decathlon – Sally Allen

         Sally Allen, Admissions Counselor, distributed information regarding the Academic Decathlon.

         She explained the need for 36 – 54 judges for speech and interview competition.  Judges must be available from 9 – 12:45 on a Friday morning.  Essay judges are needed from 2 – 4 p.m. in UC 310.  Judges may be faculty, staff, and/or graduate students.  Dr. Speck encouraged each member of Deans Council to be a judge and to also enlist four other judges.  A list of judges should be sent to Sally Allen by January 25.

 

3.      Allocation of Student Recruitment Funds – Bruce Speck

The dean of each college should have clear, written instructions to faculty as to how to request monies for student recruitment funds.

 

4.      Tenure and Promotion Template for Faculty Handbook with Proposed Changes–Gaines Hunt

Dr. Hunt will make the changes to the template as suggested by the council.  A motion was made to distribute the template to department chairs in December; it will be due to the deans on March 15 (from chairs) to modify their criteria to be put in handbook, due to VPAA from deans in April.  The motion was seconded and all approved.   Dr. Hunt will email the template to the deans.  The department may set the minimal; this is basically a format issue.

 

5.            Protocol for Recommending Changes to General Education Core in Schedule Format (with dates) – Gaines Hunt

A motion was made that we revise the core only one time per year (in the spring) to be submitted to the department in Feb., to the dean on March 1, to Deans Council on March 15, and to the VP/Academic Council in April.  The motion was seconded, all approved.

 

6.            Policy 2:001 (Distributed 11/10/04) - Mike Gotcher (Attachment A)

Mike Gotcher is serving on an APSU committee charged with reviewing the curriculum approval process.  The committee is recommending that after academic proposals are approved at the department level the proposal would go to the dean, if approved by the dean the proposal would be put on a web site.  It is recommended that the college curriculum committee be eliminated.  It is recommended that Teacher Education Council and Graduate Council continue.  The deans voiced concerns regarding the elimination of college curriculum committees.  It was recommended that the deans send this recommendation to the chairs and Sean Hogan take the recommendation to Faculty Senate for feedback in January.  The Deans Council will review this proposal in February after receiving feedback from faculty and Faculty Senate.

 

7.             List of Classroom Priorities -  Stan Groppel and deans

Stan Groppel, Tom Buttery, Jim Diehr, Sheila Bryant and TeLaina Wrigley met and reviewed spreadsheets.  A list of priority classrooms and the Procedures for Priority Room Assignment was distributed.  It was recommended that lapboards be added to seating in Clement Auditorium.  This will allow nursing to move to Clement Auditorium and out of Gentry Auditorium.   Everyone was asked to look at underlined and bolded items on the Procedures for Priority Room Assignment.  Stan Groppel or Sheila Bryant will send this list to the chairs with only the priority rooms to each department.   A motion was made to approve the Procedures for Priority Room Assignment with the suggested corrections (including the 20% of classes being offered in the afternoons) after the corrections are made the procedures will be distributed to department chairs.  The motion was seconded and all approved.

 

A motion was made that a list of Priority Classrooms be brought by the Office of the Registrar to the Deans Council each year (in September) for review.  The motion was seconded and all approved. 

 

After discussion it was noted that having use of blackboard in the course should not title the course as web enhanced.  Stan Groppel and Tom Buttery will talk to Reggie Wooden regarding this issue and will report back to the deans council in January. 

 

         Mike Gotcher, Tom Buttery, Gaines Hunt, Sheila Bryant, and Stan Groppel were asked to prepare a preliminary report of hybrid classrooms - due January 12.

 

 

8a.    Electronic Portfolios – Mike Gotcher

Mike Gotcher distributed and reviewed a report including advantages, disadvantages and implementation procedures for an electronic portfolio.  It was recommended that we establish a pilot study of selected faculty members (approximately 10 representing each college) to develop electronic dossiers.  The problems associated with security and access issues will be examined.  Provide evaluation committees the opportunity to examine both standard and electronic dossiers. 

         Mike Gotcher was asked to provide an actual presentation at the January 20 deans and chairs.

 

8b.    Campus-Wide Evaluation of Teaching Report – Mike Gotcher (chair), Tom Buttery, Stan Groppel, Jim Diehr, and Greg Schutz 

Mike Gotcher distributed and reported the goals for peer evaluation. It was recommended that the deans send these to the departments for review.  This should be presented at the January 20 meeting of deans and chairs.

 

9.            Veteran’s Day 2005 – Bruce Speck

Classes will not be held on Veteran’s Day in 2005; however, the University will be open.  The Army Education Center will be closed on Veteran’s Day.

 

10.    Registration Priority for True Online Students – Stan Groppel

         Dr. Speck believes that the students getting their degree Online should have priority.  A subcommittee of Stan Groppel, Sheila Bryant and Bruce Myers will review this and report to Deans Council on January 5.

 

 

Other

 

Bruce Speck

·         Harriett McQueen will be contacting deans for advisors at the January transitions program.

 

 

Gerald Beavers

·         More classrooms are needed; there may be a delay in the deployment of the 101st which will mean a strong enrollment for next spring.

 

Deborah Fetch

·         An email problem may have caused book requests and inner-library loans to be lost.

 

Sean Hogan

  • Reporting from Faculty Senate a request that deans report information to the department chairs. 

 

Houston Davis

·        Dr. Davis distributed a memorandum regarding the request for reorganization of DSP.  In the next two weeks a call of names for committees will be made.  Deborah Fetch, Gerald Beavers, Gaines Hunt, and Charles Pinder were recommended to be the Deans Council representatives on this committee.
